Email Drafts

When the send mode is set to Create as draft, follow-up emails are not sent immediately but created as drafts in your Outlook mailbox. On the Email Drafts page you can review, send, or delete these drafts.

Overview

The drafts page shows a table of all open drafts:

When no open drafts exist, a corresponding message is displayed.

View a draft

Click the eye icon to open the draft in a side panel. There you'll see:

  • To — Recipient (name and email address)
  • Subject — Email subject line
  • Content — Full email text as it will be sent
tip

The draft is also visible in your Outlook "Drafts" folder. Any changes you make there will be reflected when sending via Vita-Drive.Ai.

Send a draft

You can send a draft in two ways:

  1. From the table — Click the send icon in the actions column
  2. From the preview — Open the draft and click Send

In both cases a confirmation dialog appears with the deal details. After sending, the draft is removed from the list and the follow-up sequence automatically continues with the next step.

Delete a draft

Click the trash icon or use the Delete button in the preview. In the confirmation dialog, you can use the "Also delete draft from email account" checkbox to choose whether the draft should also be removed from your Outlook mailbox. Your preference is saved for future deletions.

  • Checkbox enabled (default): The draft is removed from both Vita-Drive.Ai and Outlook
  • Checkbox disabled: Only the automation continues — the draft remains in your Outlook drafts folder

Deleting a draft does not stop the follow-up sequence. The next step will still be executed as scheduled.

Automatic deferral

As long as a draft has not been sent, the next follow-up step is automatically deferred by 24 hours. This repeats until the draft is sent or deleted. In the automation overview this appears as Follow-up deferred.

When you click Send draft on the automation page, you are redirected to the drafts page and the relevant draft is highlighted.

Automatic cleanup

Unsent drafts can be automatically cleaned up after a configurable period. This feature is enabled under Settings > User Settings > Email Sending (only visible in "Create as draft" mode).

  • After X days — Drafts older than the configured value (default: 7 days) are automatically cleaned up
  • Delete from Outlook — Optionally, the draft can also be removed from the Outlook mailbox

After cleanup, the follow-up sequence continues with the next step. In the automation overview this appears as Draft auto-cleaned.

tip

Enable automatic cleanup if you use draft mode but don't want to manually review every draft. This prevents stale drafts from lingering indefinitely.
